How to get the word out

Once you have all your event details set, you need to get the word out to potential attendees through various channels:

Email – A great place to start is your own list of email subscribers. Because they’re already engaged and invested in your brand, they may have a higher likelihood to attend an event you have. Send an event invitation via email far enough in advance that your subscribers can plan it into their calendars. Make sure you include all the necessary information in your email. If you’re hosting an event, include the full address of the venue, parking information, etc. If you’re inviting people to a demo, or new service, include full log in or sign up details. Also include a link back to your website, and contact info such as a phone number or email address for your business so someone can call with questions if need be. Always include a call to action to register or sign up to attend the event.

Plan to send a few email invitations and reminders as you get closer to your event. You can offer early bird discount pricing, or offer different level of tickets and benefits to in still a sense of urgency.

Mail Invitations – In the digital age we live in, some may pooh-pooh the notion of sending invitations by mail, but invitations are very effective to get the word out. If you use compelling imagery and messaging, your recipient has a good chance of reading it. Invitations also serve as easy reminders because they can be placed on a desk or fridge as a visual cue of the event.

Social – In addition to inviting potential attendees via email and postal invitations, you can also invite guests via Facebook by creating an event. It’s a great way to invite people that you don’t have email addresses for.

Make sure you cover your other social bases by sharing details and a link to register on your other social channels like Twitter and LinkedIn. Create a hashtag for your event and use it every time you share details about your event on any social network. Just be sure you research any hashtag prior to using it to ensure it isn’t being used for something else you might not want.

Private party organising made easy

One of the simplest and easiest types of party to organise is a venue or marquee with a live band. Nothing gets guests excited like a live music performance as it’s far more interesting & engaging than a DJ or background music. You’ll need to choose a band to suit to the occasion, your guests and the type of atmosphere you’re looking for.

Popular types of party band include tribute bands, rock and pop function bands, or for an older audience try Swing and Jive or Rock n’ Roll.

Any private hire venue with a cool bar and space to dance would be suitable, but bear in mind parking and accommodation for those guests traveling beyond a taxi ride. For something a bit different try the Hard Day’s Night Hotel in Liverpool, complete with a live Beatles Tribute band.

Parties based around a live party band, especially a lively band, are likely to be quite loud so consider how many elderly guests you might have. Venues with sound limiters can be a real pain so before you hand over any money, make sure the venue you choose doesn’t have a limiter fitted (or if it does, that the threshold is set higher than 95dB). Also, make sure there is a dance floor and if at all possible, try to avoid venues where the bar is in a different room to the dancing as this can split guests and leave you with a less party atmosphere.

Good quality function bands will provide all of the equipment you’ll need, so all you need to do is ensure they have enough space and some light refreshments. Expect to pay upwards of £1000/£1400 for a really good 4-5-piece band.

For most private parties a really early arrival is not necessary so if you ask the band to arrive around 6pm they should be set up, sound checked & ready for guests to arrive by 7.30pm – 8pm. Most function bands will play 2 x 60 minute performances, and we suggest the first to start no earlier than 9pm so guests have time to get a drink and have a chat before the music starts.

Thinking about 2016 summer

Much as we love advertising entertainment for corporate events and weddings, it’s often a nice change of pace to remember the little people and to also remember that after Christmas you’re going to have to be thinking about Summer and BBQ’s (which is rather something to look forward to)

A Steel Band is great background music for any event and will perform suitably exotic and energetic set of tunes that will transform a very English garden barbecue into an equatorial island party. Warm, enthusiastic and hugely entertaining – a steel bands infectious passion for their music will be passed on to everyone who hear them and will proved to be the perfect soundtrack to the event.

Dance the night away

Dancers are very entertaining, and if you had an event that demanded some dancers then why not consider hiring some great dancers from Red Masque entertainment directory.

What are singing waiters and what do they do?

Singing waiters are fake serving staff who suddenly decide they want to sing rather than serve, only to be joined by two or more other serving staff who want to do just the same! The ‘staff’ are actually professional opera singers or West End musical theatre singers in disguise, who then present a cabaret-style spot of favourite opera extracts and musical numbers to delight and entertain guests.

What to look for in quality singing waiters

Quality singing waiters acts combine superb singing, excellent comedy acting skills and the ability to blend into your event so nobody suspects a thing before they sing! The key to a successful singing waiters act is the element of surprise – no guests must have the slightest clue that the person serving their drinks or dinner is actually a performer in disguise. The best groups therefore spend some considerable time liaising with you beforehand to ensure they can become part of your event without raising suspicion.

This includes making sure their performers wear the same uniform as your venue’s waiting staff, and may work as waiters and waitresses for part of the event. Most singers will not actually work all evening as waiting staff, but just enough to appear to be the real thing just before their act. Some acts include a ‘chef’ or ‘maitre d’ according to their act format, and again they will ensure these performers appears to be the real deal. They will also liaise with the venue to make sure all their staff know what is going to happen, and that real staff are fully briefed on what’s about to happen!

Bear in mind that after the initial surprise, all singing waiters acts turn into, essentially, cabaret acts. So, look for groups who include experienced singers in either opera or musicals, so when they do start to sing, it’s both impressive and entertaining. 

What formats do singing waiter acts offer?

The original and most popular format is that during the meal (and usually between courses), a ‘scene’ starts to happen where a waiter wants to sing, or there is a problem with the food. Perhaps the chef emerges from the kitchen to sort it, and a young waitress intervenes. Before you know it, they are all up and singing anything from opera arias to Robbie Williams hits! Most groups are very flexible about what the ‘scene’ is, and make it suitable to your event, be it a corporate dinner or a family party.

The idea of singing waiters has now expanded to include other characters that can ‘interrupt’ your event. Singers in disguise can be singing firemen or anything you want really. But, imagine the scene, two hunky male singers who need to check the safety equipment, or who come to the rescue of a ‘chef’ who has set the pudding on fire!

Soul, RnB or Motown?

Rhythm and blues (R&B or RnB) originated from adding a strong beat to jazz and adding lyrics about life, love and freedom. Now it’s a genre of soul music that stretches from funk to ska, to hip hop, and encompasses artists as diverse as Michael Jackson, Stevie Wonder, Whitney Houston, Elvis, The Rolling Stones, Tina Turner, and Mariah Carey.

Soul music is the love child of rhythm and blues and jazz, with American gospel as an auntie. Born in the late 1950s, soul music combines irresistible rhythms and powerful, heartfelt vocals that have defined pop music and funk alike. Think Little Richard, James Brown, Sam Cook, Jackie Wilson. Otis Redding and the queen of soul, Aretha Franklin.

Motown is a type of soul music named after the Motown record label, based in Detroit USA. The Motown sound fused soul and fledgling pop into a string of massive pop hits that have filled dance floors and discos alike ever since. You’ll know the sound when you hear it and you’ll certainly know the Motown artists: Smoky Robinson and The Miracles, Diana Ross and The Supremes, the Four Tops, Gladys Knight & the Pips, the Jackson 5 and Steve Wonder.

What to look for in quality Soul, RnB and Motown bands.

Soul, R&B and Soul can be in all sizes, from stunning solo vocalists to full-on soul party bands and everything in between. So, how can you tell the soulful stars from the RnB also-rans?

Check their Profiles First, check out the artist and band Profiles here at Red Masque Directory. Their sample tracks and demo videos that’ll give you a good idea of what the band sound like. Is your toe tapping from the very start? Does the vocalist nail their notes and make it sound effortless too? That’s a good act. If you’re up and dancing around by bar eight, that’s a great act!

Wide range of repertoire Look for artists with a wide range of music in their playlist (it’s at the end of their Profile). The range and choice might sound a bit odd at first, as many mix modern and classic tracks in their sets. Actually, that’s a sign of great musicianship and will ensure every one of your guests has something they’ll know and love in each set – and want to dance to.

What space will my soul, RnB or Motown band require?

As you might have gathered by now, the space required depends largely on the type of band your booking. Since these acts specialise in providing a visual show as well as superb dance music, chances are they’ll need a larger space than comparative bands in other genres, such as jazz. What’s more, the more players and equipment they bring, the more space they will require both on stage and off. Also, don’t assume just because you booked a soloist they will come with just a small speaker and microphone. Chances are they will come with some very high-tech sound equipment for their backing tracks, to make sure they sound at their very best.

Satsumas are child-friendly easy-peelers and packed with cold-busting vitamin C and a bowl of them will brighten up any table. Give some favourite sweet or savoury sandwiches a fun twist: roll up fillings in bread and slice into pinwheels, or cut into triangles and stack them up like a Christmas tree, dotted with cherry tomato ‘baubles’.
