Here are 10 things to consider when booking entertainment

1. Type of entertainment for your event

What type of event are you hosting? There are different types of entertainment to suit different kinds of events. Booking the right type of entertainment is essential.

For example;
A Dance music DJ would be suitable for an 18th Birthday party but wouldn’t go down too well at a 70th birthday (Unless they are young at heart!).

Whereas a Country Band would be perfect for a 70th Birthday party but would not be suitable for an 18th party!

Make sure that the entertainment you book matches the theme and requirements of your event so that everyone can have a good time.

2. Plan Early

Make sure that you plan and book your entertainment early. Don’t leave it to the last minute as the most popular Bands, Entertainers and Acts have bookings 2 – 3 years in advance (especially with weddings). Avoid disappointment and start looking for entertainment as soon as you have your venue booked.

3. Location of Entertainer

When searching for the perfect Entertainer for your event, try to find someone local which can save your precious budget instead of paying travel expenses. If you book an entertainer located over 200 miles away they are obviously going to charge extra for travel, or even an overnight hotel stays. One exception is when you are booking a completely unique entertainer that you won’t find in your local area.

4. Date of event

Be mindful of the date of your event. You may find that your entertainer charges a smaller fee for midweek gigs. Also consider that most entertainers charge more for events like New Year’s Eve and Christmas Holidays.

5. Experience

How much experience does your entertainer have? Are they full-time entertainers? Have they previously performed at events like yours? Ask for testimonials – Every good entertainer should have them!

6. Setup Requirements

Different entertainers require different setups. Some bands will need a large stage area to fit their sound and lighting rig, while solo acts can stand in the corner of your room with just an instrument and microphone. Make sure that you plan the layout of your room and discuss setup arrangements with your entertainer. Ensure enough time for your entertainer to set their equipment up and sufficient access to load equipment into your venue.

7. Contract

Does your entertainer use a written agreement or contract? If they don’t, how do you know that they will turn up on the event? Start late? Finish early? Charge you more? A written contract is essential when booking entertainment, as it guarantees that your entertainer will provide the service that is specified on the date and times you require. The contract should also specify the fee for the entertainer.

8. Public liability insurance

Booking an entertainer without public liability insurance can end up being an expensive mistake. Firstly, some venues and hotels require entertainers to produce a PLI certificate. If your entertainers cannot prove that they are insured, the manager won’t let them in! Imagine you have a room packed full of guests attending your event and your entertainment is not allowed in… What a Disaster! Secondly you may be liable for the costs if the entertainer you have booked causes damage to individuals or property in the venue. What if your entertainer had equipment that fell on top of a guest or member of staff? For peace of mind; make sure your entertainer has Public Liability Insurance. Don’t take a risk!

9. PAT Testing

If your entertainers use any electronic equipment, they are required by law to have it PAT tested (Portable Appliance Test) for electrical safety. It is a UK legal requirement for your entertainer to have their equipment tested annually, to comply with The Electricity at Work Act 1989. PAT testing is also necessary to meet the requirements of the entertainers PLI policy. Does this matter to me? Yes, as some venues and hotels also won’t let your entertainer perform without a valid PAT certificate.

10. Price

When booking party entertainment, don’t always go for the cheapest entertainer. Why? Because booking entertainment isn’t the same as looking for the cheapest TV or the best Insurance quote. Your entertainer needs to be of a professional standard and have the experience to entertain you guests. Their equipment needs to be of a professional quality, so that it doesn’t break down on the night. Also their service needs to be professional so that you are happy with booking. Notice the word professional is used a lot?

Top 10 Tips for a Charity Event

Tip 1- The purpose – You should decide what the purpose of your charity event is and confirm this early to start initial planning. Is this a full on fundraising event? Or does it have other goals in mind such as gaining awareness, publicity and to reach out to a new network of people. Many charitable events have more than one goal and these need to be decided before any further action takes place. Confirming and planning the details for your charity event will depend on knowing what goals you are trying to achieve.

Tip 2- Date, Time & Venue – Give yourself plenty of time to organise any type of event. At least 3 months in advance. You don’t want this to be a rushed job so ensure that all aspects are planned to perfection. Your venue is also entirely up to you, yet should reflect your theme, your purpose and your charity. If you believe that your house can hold the demand, then feel free to do so but for a large event then a venue such as a hotel may be better suited. Ask the venue for some freebies, if you don’t ask then you will never know.

Tip 3 – Budget Plan – Every fundraising event plan should contain a detailed budget plan of all of the expenses that will be required to hold the event.

Your budget plan should include staff, invitations, venue, catering, entertainment, utilities, and anything else that will be required to make the event successful. Your budget should take into account your fundraising goal, ensuring that you raise that amount above and beyond all expenses. Top tip for your budget is to always have a spare amount, you just never know when an emergency will appear and that extra bit of cash could really help you out.

Tip 4 – Round up your troops –

For your charity event to be a true success you will need a strong workforce behind you. This could be family and friends, volunteers of the charity or even try and recruit some new volunteers to help. Your team could help you in so many different ways such as helping you with the planning, collecting money outside supermarkets, selling tickets for the charity event and also on the day of your event it is always great to have a spare pair of hands.

Tip 5 – Read All About It –

You have to let the public know about your charity event, or nobody will know anything about it. Ask the charity to help by putting up the information on their Facebook page, create some simple flyers and leave them in shops in your area, create an “event” on Facebook and invite people, go and speak to your newspapers and get them to interview you about the charity event and if possible ring your local radio station and get a small interview slot. The more people know about the charity event, the more of a success it will be.

Tip 6 – Entertainment is key –

Your entertainment has to be fresh, exciting and fun. Why not hire a fun casino which is great fun and also brilliant for fundraising? Or a magician who can walk about the room and make your guests “wow” in amazement. You could even hire out a crazy golf course; you may even have the next Rory McIlroy in your mists. The party entertainment needs to be organised quite early on in the planning process if you don’t want to be disappointed.

Tip 7 – Stick by the law –

We would advise anybody to always go and research the laws and regulation when organising any event, especially a charity event. There are certain guidelines which need to be put in place to surrounding fundraising in public areas; you would need to speak to the local council about these. They are only small regulations so should not be anything to serious to worry about, but always check and get support from your local council

Tip 8 – Collecting the money –

On the night of your event, you have to collect the money if it is a fund raiser. You could collect the money by walking around the room with a branded bucket, have a raffle and collect the money when selling tickets or you could place an envelope for each guest at their table where they place their desired amount into and you collect at a designated time of the night. There are so many options on how to do this, but these three seem to be the most effective.

Tip 9 – Mind your manners! –

Always remember to say Thank You both straight after the event and in the days that follow. Your guests, volunteers and sponsors need to be appreciated. They have taken time out of their lives to help with your charity event. Make a small speech simply thanking everybody for coming along, send a personal email again thanking them or even send them a momentum of the night. Take a group photograph of everybody who attended and print these out for each volunteer and sponsor. A simple thank you on the back is all that is need and it gives your event that personal touch.

Tip 10 – HAVE FUN –

You have done your event planning, you have done your research and you have everything in place. Now it’s time to have fun. Mingle with your guests and have a laugh, if they see you relaxed then they will also feel relaxed. And remember it’s for charity, so no matter what you do you are making a difference.

Entertainment for a real surprise

Events are an intriguing proposition. Depending on the stage at which you are at in life, certain acts may be perfectly suited to you. Others perhaps less so. You’re hardly likely to book a wine tasting for a child’s birthday party and the less said about the ‘Happy 75th’ bouncy castle booking the better. With that in mind, we thought it may be useful to run through a few ideas you may wish to have a look at depending on the life stage within which you currently reside.

Who can forget childhood? A time when you were completely carefree but were still liable to be dragged along to events at your parent’s insistence. Thankfully, many times there were acts at these events that were tailor made for you. Ah, life was hugely enjoyable when you were being entertained by such acts like a balloon modeller and a children’s entertainer that you happily got involved, all memories of missing your favourite cartoon on television completely forgotten.

One of the most important part of your day is the party entertainment. Everything else is window dressing but hey, you want the finest window dressing there is. To that end, splashing out for a great venue, nobody will forget a knock out venue in a hurry. Book party entertainment to suit the theme, stilt walkers and aerialists is a great idea. With the photo booth images providing a fun way to scrapbook your event, everyone went home happy.

Of course, many of the acts depicted here can’t really be compartmentalised and we have lots of ideas that you can look through on our entertainment directory. So have fun, pick some entertainers that would be a real surprise and make your whole event a magical one…

Throwing a party full of surprises

This party idea is really simple; your guests have no idea that the waiter who has been serving them, or the fireman who seems to be worried about the smoke alarms, are in fact highly talented singers, ready to grab a microphone and burst into song. As one waiter starts to sing, another suddenly joins in, and then a ‘guest’ can’t seem to resist joining in either. It’s particularly effective during a formal dinner.

It’s a great way of breaking up a meal and giving your guests something hugely entertaining when they are least expecting it!

When you’re planning an event, you want to keep your guests entertained throughout, so the energy and enjoyment never dips. Giving them something new just when they are least expecting it is a great way to create a buzz, and to give guests something to talk about apart from the food or the football! And nothing fits the bill quite like a surprise act, be it singing waiters, firemen, or chefs.

Hire singing waiters, policemen, firemen and a whole host of other comedy singing acts from Red Masque directory to make your event unforgettable. Discover what surprise entertainment we offer and how they’ll positively impact your event!

Before the audience have had time to work out who might be part of the act, they are being royally entertained by superb singers performing anything from famous opera songs to the latest West End hits, often close up to their tables.

The voices, the energy, the performance, they are all something that you just can’t duplicate in any other way. The ‘singing waiters’ introduction is a light way to create a surprise and add a great deal of fun.

What the guests see, of course, is just the end product of a great deal of planning and preparation. Professional party entertainment acts make sure that everyone behind the scenes is in the know and fully prepared, while the real guests haven’t a clue what’s going on! It’s also about preparing a scenario that is perfect for your event.

Safety first

As a nation, we love to celebrate a hapless hero, and top of the list must be Guy Fawkes, a man famous for having failed miserably to do what he set out to do. Fawkes and his co-conspirators planned to blow up the Houses of Parliament but on 5 November 1605, Fawkes was discovered guarding a large stockpile of gunpowder in the cellars, after an anonymous tip-off to the authorities. Here’s five great ways to celebrate his non-achievement!

Guy Fawkes Night is a great excuse to have a party where the star attraction is a red-hot band or explosive new act rather than a soggy bonfire! Ditch the rockets and whizz-bang in favour of guitar solos and keyboard wizardry, for a night everyone will remember for a very long time. At Red Masque, we have some of the best up and coming bands in the business.

Bonfires are fun but they are also a liability waiting to happen. So, light up your bonfire party with entertainment that makes the most of fire, light and spectacle without the health and safety issues.

Fire acts create magical patterns in the night sky using fire and sparks, for a show that has deep, primeval appeal. Or opt for the high-tech solution, an LED light show where the ‘fire’ is actually LED lights twirled, swirled and whirled to create incredible coloured patterns and optical illusions. You’ll never look at a sparkler again!

You will have to book will in advance if you want a professional firework display, as they’ve been booked up for months. However, you can book a professional firework display any day of the year through Red Masque so you can enjoy a spectacular display choreographed to your favourite track for your wedding, birthday party, anniversary celebrations, proms party, you name it.

And if you do want your own bonfire party in the back garden, always follow the Firework Code keep bonfires small and under control, and warn your neighbours so they can keep pets safely indoors. Have fun!

What’s hot in 2017?

For all 2017 corporate events, décor will be key. Your venue needs to wow your guests from the moment they walk in, creating a special and uniquely defined space for your event. Two highly contrasting themes are high tech interactive and natural materials, enabling your company to show off its tech prowess, or boost its eco credentials.

Choose musicians that blend performances with tech, such as our interactive VJ’S, or a live DJ. Get your guests interacting with each other playing giant games with your very own theme.

If you choose a high tech theme, your entertainment must be 100% integrated to the whole tech ambience. Look for entertainers that offer a tech twist in their act, such as iPad illusionists, LED Light entertainers and street magicians that work with the latest phones and mobile gadgets.

If you are thinking about a winter corporate event into a natural winter wonderland with ice sculptures and decorated living statues, walkabout characters, and seasonal winter menus. Welcome guests with the warming aromas of mulled wine, or entice people out into the crisp winter air with heated seating areas, piles of rugs and sweet chestnuts roasting on a real coal brazier.

You could extend the theme beyond décor and food into acoustic musical acts, for a more ‘natural’ sound. Entertain with a gospel singing Christmas songs, or a trendy a Capella groups, or guitar and sax soloists.

When you want your corporate party entertainment to finally hot up, keep the theme with classic tracks that really evoke the sights and sounds with top UK function and party bands who know their Farrell and their Ed Sheeran.

Take lighting to the next level and illuminate your event to create spectacle and visual interest. Any venue can be transformed with clever and creative use of lighting even on the more limited of budgets. Use lighting to throw unusual shadows, to colour tables rather than using flowers, and use wireless technology to alter lighting states to reflect the various stages of your event.

Your party and event entertainment should be equally well lit! Look for party DJ’S with their own light shows, rock and pop function bands that provide their own lighting, and artists that use light in imaginative ways.

For larger events, book artists that have a strong visual impact enhanced by theatrical style lighting, such as dance troupes, ballet dancers or aerial artists.

Find ways to make your entertainment a pleasure for everyone by choosing acts that blend superb musicianship with accessible humour, such as a comedy string quartet. Or present musical acts with an international flavour, such as 1920s swing band just make people smile!

1. Book a suitable space

Decide where your fun day will be held and book it well in advance. A local pub garden, school field or community hall are all good places to hold a fun day. You need to make sure there is adequate room for everything you have planned. Also check if there are toilets and power available. You can add some little touches, such as bunting to bring the place to life, or choose a theme for throughout the fun day.

2. Logistics

The chances are, your chosen location, will not have insurance for all the activities you have planned. You will need to make sure you have suitable insurance for everything you have planned and ensure all electrical equipment is tested by relevant inspectors.
You will also need to ensure risk assessments are completed to make sure everyone is safe.

3. Choosing a date and time

Make sure you allow yourself plenty of time to organise the day. You’ll be much more relaxed when the day comes along if you know you’ve spent time planning all the details.
Choose a date that doesn’t clash with anything such as big sporting events like football cup finals, or Wimbledon finals. Create a realistic timeline for the day and take into consideration the time needed to set and clean up.

4. Something for the kids

A good variety of stalls and activities ensures kids will have a great time and never want to leave. Children of all ages enjoy face painting and inflatable slides. Play zones are a great option for little ones, and for those a bit older, circus workshops and rodeo sheep are great opportunities to show off their skills.

5. Something for the big kids

We all have an inner child that wants to get out and have some fun! Adults are bound to be competing with the smaller guests on most activities, but items such as cash grabbers, gladiator jousts, sumo costumes, and a rodeo bull are great fun for adults who enjoy a fun challenge.

6. Refreshments

Kids of all ages will be needing some refreshments to give them energy to keep on having fun.
candyfloss, ice cream and popcorn are great options to keep the party atmosphere.

7. Shelter in case of rain

As we all know, the British weather cannot be trusted! It is worth thinking about having canopies and / or marquees for shelter, should it rain.

8. Somewhere to relax

Having so much fun can occasionally catch up with you! Your guests will really appreciate a spot to take the weight off their feet and recharge for some more fun. Deck chairs are a fab way to keep the fun atmosphere and provide a comfy spot to relax. If you want something really fun, a giant deck chair is just the thing.
