If you’re prepared to do a bit of decorative work (or have the budget to hire a party organiser) then you can theme your venue or marquee to look like a beach bar, a scene from the Arabian nights or even the Wild West! Fancy dress is optional though it does help bring the whole thing together.

Event planners love organising a party around a specific theme. It makes sense since most guests turning should at least have some familiarity with the world they are about to experience. Perhaps the most popular party theme out of the many out there are parties based around Lewis Caroll’s Alice in Wonderland. Because what could be more Christmassy than fake snow? To be honest, this one is just a given. The very least that people would expect from a Frozen-themed Christmas party are some themed walkabout characters. A West End Musical event

We all love musicals. Even those people who say that they don’t can be found screaming Grease Lightning at the top of their lungs at party events every summer. It makes sense then that musicals from the West End and Broadway are therefore commandeered for weddings, corporate events and private parties. 

Mary Poppins

Ah yes. Famous for dancing penguins, supercalifragilisticexpialidocious and Dick Van Dyke’s horrendous cockney accent, this is a musical that combines animation and live action to great effect. A family classic for all the family. Rocky Horror

Richard O’ Brien’s greatest moment? Only if you wish to disregard his marvellous work on The Crystal Maze. Health and safety

Take care to do what you can to avoid accidents and injuries at your event. It is useful to conduct a risk assessment, to help make sure you have thought things through systematically. See our information on health and safety for community groups.

 First aid

Decide who will be responsible for first aid on the day. For large events, you could ask a first aid organisation to attend. Even if you are just using your own volunteers, you need to have a visible first aid point at the event and people who are taking the role of first aiders. Some of your volunteers may already have first aid training. If not, here is a list of first aid training providers.

Transport

How will people get to the event? Make sure your publicity gives details of public transport and parking. Will you need to put up signs in the surrounding streets to make the event easier to find?

Access

You should do what you can to ensure that disabled people can take part in your event. For example, if possible, choose a venue which is accessible for wheelchair users, and provide a British Sign Language interpreter for speeches and performances. Put information on your publicity about how accessible your event will be, so that people will know in advance if their needs are going to be catered for. You could also invite people to contact you in advance if they have a particular access need, so that you can adjust your plans to make the event accessible for them.

Children’s activities

If you plan to have children’s activities, be clear in your publicity whether you are providing care for unsupervised children, or whether children need to bring an adult to look after them. If you plan to provide childcare, you may find it useful to look at our information on running a crèche.

Photography

Do you want or need to photograph or film your event entertainment? You should put up signs informing people if they might be photographed, and you should gain parental consent before photographing children. Have a look at our information on photo consent.

Wedding Entertainment Planning

Choosing wedding entertainment is a very important part of your wedding planning process. Your guests may not remember the theme of your wedding centrepieces, the type of cars or even the design of the cake. The last memory of your wedding for you and your guests is having the most important people in your life having fun and dancing with all the new friends that they have made. If you don’t plan your wedding entertainment properly, your guest’s last memory will be how the wedding ended at 9pm!

Band or DJ?

There are advantages and disadvantages of having both. The pure sound of Live music with a wedding band can really bring a great buzz to your reception but will be more expensive than a DJ, and most bands stick to a set list.

A Wedding DJ can only play pre-recorded tracks which means that their sound isn’t as good as a live acoustic band, but the DJ can play any type of music, take requests and works out less expensive than a band.

Band & DJ package

You can have the best of both worlds with live music from the band and disco music with requests for your wedding. The live band can play the first half of the evening (from after dinner until the evening buffet), and the DJ can play the final half of the evening (from the evening buffet to the close of the bar).

Once you have decided this, there are so many questions: A swing band? A cover band? What type of DJ?

Vision & Theme

To avoid becoming overwhelmed consider your vision and theme for your wedding reception.

Close your eyes & imagine it. Talk it out. Different visions and themes call for different music: a swing band would be perfect for a Vintage themed reception, while a great cover band has something for everyone and Ceilidh band would be great for a Traditional Irish / Scottish themed reception.

Make sure that your wedding DJ has had experience, can take requests and has a good quality sound and light show. As with every industry there are good ones and bad ones… The bad ones are cheap and you certainly get what you pay for. Vertical Performance Team

Shops always have the same monotonous music playing in the background so why not switch it up a bit and hire a DJ. It could be packaged in a traditional box with your brand on it, so when your customers sit down to enjoy their food they are reminding on your company.
